Position Announcement: Office Manager
Chicago Community Loan Fund (CCLF) is a major provider of flexible,
affordable financing and technical assistance to start-up, small and
midsize community-based organizations engaged in affordable housing,
social service and economic development initiatives that benefit low-
and moderate-income neighborhoods and families throughout metropolitan
Chicago. CCLF also specializes in providing financial and technical
assistance to credit- and/or capacity- challenged agencies and projects.
CCLF is a leading lender to affordable and/or limited equity housing
cooperatives. Most of CCLF's customers are non-profit organizations;
however, some are mission-driven for-profit community developers.
CCLF is a fast-paced, dynamic, growth oriented community development
financial institution with an energetic 11-person team that manages

Responsibilities
CCLF seeks a full-time Office Manager to manage daily office operations,
including:
* Manage in-house mail to and from customers, investors,
stakeholders and others
* Co-manage, along with the Director of Finance &
Administration, vendor relationships (copying, printing, food service,
space, etc.)
* Assist with development and maintenance of administrative
and personnel policies
* Organize and maintain administrative files, including
personnel files
* Administer payroll processing, including monitor and
tracking staff time reporting
* Manage office supply, equipment (fixed assets) and inventory
* Manage deliveries between Board Directors and CCLF office,
including sensitive and confidential materials
* Coordinate, schedule and assist with board and executive
committee meetings
* Maintain and update employee benefits and related support,
including health care, life and retirement benefit information
* Coordinate and lead general office communications
* Assist Finance and Administrative team with general and year
end processing
* Act as office suite liaison on behalf of CCLF to co-manage
relationship with Chicago Jobs Council
* Supervise joint office suite assistant and operations
interns, where applicable
* Complete other tasks as required
Nature & Scope of Working Relationships
The Office Manager position requires maintaining a good working
relationship with the executive management team, staff and office suite
partners; Board of Directors and committees; borrowers; investors; and
other stakeholders. The Office Manager reports directly to the Director
of Finance and Administration.
Major Challenges/Performance Measures
The primary responsibilities of managing the office
operations are to; 1) ensure a well organized environment where files
and pertinent documents can be easily stored, accessed and managed in a
timely manner; and 2) provide good communication to all stakeholders,
including management and staff. There will be minimum overlap with the
Finance and Administrative Associate's position for purposes of cross
training and the Office Manager will also be expected to gain some
familiarity with key systems (i.e. accounting, portfolio management,
database). Performance measures include: outstanding customer service,
being well organized, good communication and positive team work with
staff, directors and committee members.
Qualifications
The successful candidate will possess the following:
* Strong organizational, file management skills along with
ability to multi-task
* Excellent oral and written communication skills
* Ability to manage and maintain confidential information
* Ability to work effectively in a team work environment
* Proficiency with Microsoft Access, Excel and MS Word
applications
* Bilingual skills welcomed
* Outstanding punctuality and attendance
* Commitment to neighborhood redevelopment
Minimum educational/experience requirement: Associates Degree or
relevant prior experience as an office manager.
Compensation
* Salary is commensurate with experience.

(collections) and processing of payments (accounts payable)
* Produce financial and operations related reports for
internal and external use
* Assist with compliance monitoring and reporting to investors
and funders
* Support capitalization efforts (investments and
fundraising), including processing requests for prospective and existing
investors and funders
* Monitor and report investment metrics to management, key
stakeholders and investors
* Assist Office Manager with operations and administrative
functions
* Prepare board and executive committee meeting minutes
* Develop familiarity with key systems, including MIP
accounting system, portfolio management system and internal database
* Conduct research and respond to public policy/advocacy
efforts related to organization and/or industry-wide initiatives
* Provide/assist with providing cross training to Office
Manager and other staff for operational process, procedures and systems
* Assist with special projects and other tasks as required
Nature & Scope of Working Relationships
The Finance and Administrative Associate position requires maintaining a
good working relationship with the Executive management team, staff and
office suite partners; Board of Directors and committees; borrowers;
investors; and other stakeholders. The Finance and Administrative
Associate reports directly to the Director of Finance and
Administration.

and payments in an accurate and timely manner, 2) support capitalization
efforts, 3) conduct research and perform analysis of key financial and
operating metrics, 4) help manage investor and funder compliance
reporting and 5) provide good communication to all stakeholders,
including management and staff. There will be minimum overlap with the
Office Manager's position for purposes of cross training.
Qualifications
The successful candidate will possess the following:
* Ability to pay attention to detail for high level of
accuracy
* Strong analytical aptitude
* Familiarity with MIP, or related accounting system is a
plus, but not required
* Good organizational skills
* Ability to multi-task
* Excellent oral and written communication skills
* Ability to manage and maintain confidential information
* Must be willing and able to work effectively in a team work
environment
* Proficiency with Microsoft Access, Excel and MS Word
applications
* Bilingual skills welcomed
Minimum educational/experience requirement: Bachelors degree in
accounting, business, economics or a related field is preferred.
Nonprofit financial management experience a plus.
